Keeping pace with business change

For nearly 20 years, Max at MFC IT Services has been helping MVL Architects and Surveyors to maintain, upgrade and secure its IT environment. The small family-run business has been able to rely on MFC’s expertise and support to gradually evolve its use of technology and keep pace with changing business needs.

The business requirement

In the 45+ years since Malcolm Lelliott founded MVL Architects and Surveyors, the architectural design and surveying process has seen tremendous change. Traditional drafting boards and hand-drawn designs have been replaced by high specification computers and sophisticated digital 3D models. Reliable, high performance computers and dependable IT support are, therefore, now essential for this small business, which has three offices in the UK.

“We are so happy with MFC that we frequently recommend them to other businesses locally.”

The services provided

Max at MFC IT Services has been providing a range of IT support and IT management services for MVL Architects and Surveyors for nearly two decades, during which period technology has advanced considerably. MFC has continually maintained, up-graded, replaced and repurposed IT equipment and recommended new technologies to meet the needs of the business.

“In recent years, we have seen a steady increase in the processing power and memory that we need, to enable us to handle large amounts of digital survey data and create 3D and 2D designs,” explains Malcolm. “MFC knows how to get the best out of our existing desktop computers and servers and when to replace or upgrade them at the end of their lives.”

MFC has made the effort to really get to know MVL Architects and Surveyors and understand the needs of users. It can, therefore, recommend the right technology at an affordable price. “MFC understands us,” Malcolm says. “The team has a very friendly approach.”

In one particularly beneficial project, MFC set up Microsoft 365, giving the business a cloud computing platform for the first time. This has speeded up data and file retrieval for all employees and improved the accessibility of data. “It was a very smooth process,” Malcolm recalls. “MFC just dealt with it.”

The Microsoft 365 platform proved critical during the coronavirus pandemic, as it enabled employees to work effectively from home. MFC helped MVL Architects and Surveyors set up OneDrive folders for individual and shared use, which helped teams to share files and collaborate at a very challenging time when they couldn’t work face-to-face in the office.

A few years ago, MFC replaced the business’s traditional telephones with internet-based, voice-over-IP telephones. This didn’t just enable MVL Architects and Surveyors to significantly reduce its telephone costs; it also enabled it to maintain business-as-normal during the coronavirus pandemic. Employees simply took their desk telephones home and could answer switchboard calls and transfer calls to colleagues in the usual way despite working remotely.

MFC has set up a robust back-up system for MVL Architects and Surveyors, repurposing old server hardware to keep costs down. This supplements the inherent resilience of the cloud-based data storage provided by Microsoft 365 and gives Malcolm additional peace of mind. “Although unlikely, if the cloud went down, we could still access all our information,” he says. “You can’t have too many back-ups as you never know what’s around the corner.”

MVL Architects and Surveyors also relies on MFC to provide IT security software for all employees and end-user IT support. “If we have any queries about IT, we just go straight to MFC,” Malcolm says. “99% of the time someone can deal with our desktop computer issues remotely. We are so happy with MFC that we frequently recommend them to other businesses locally.”
