Cultivating a stress-free IT environment

Employees at Indoor Garden Design used to feel frustrated with their aging IT equipment and were unnecessarily stressed by poor quality IT support. Now, however, everyone can get instant help with any IT issue and the company’s IT environment has been transformed.

The business requirement

Indoor Garden Design is a successful small business with 50+ employees that designs, delivers and maintains office plants and large indoor planting schemes. By bringing nature into offices, the company aims to create healthier, more attractive workplaces and improve the well-being of its clients’ employees. The well-being of Indoor Garden Design’s own employees was, however, threatened by their poor IT experience. They struggled with aging IT equipment and couldn’t get the IT support they needed from their existing IT support provider, leaving them feeling frustrated and stressed.

The services provided

When Indoor Garden Design first asked MFC IT Services if it could become its new IT support provider, the firm didn’t immediately say yes. Max Frimond, Director of MFC, carefully considered the design company’s existing IT environment and made sure that he could support and develop it before making a commitment. “This gave me confidence in MFC,” says Craig Edser, General Manager at Indoor Garden Design. “Max thought about it and then gave me a considered plan explaining how we could work together.”

From the outset, MFC transformed the IT support experience for employees. Anyone in the business can contact MFC direct, about any IT problem, whenever they need to. “The vibe around the office now is so much better,” Craig says. “MFC has changed everyone’s attitude to IT – and made my day much easier! Now people don’t bother me, they call MFC direct.”

Edser and his colleagues are particularly impressed by MFC’s rapid response. “MFC resolves issues instantly if they are urgent or within one to two hours if not,” Craig says. “In contrast, our previous IT support provider typically took 8 to 24 hours to respond to an IT issue. Day-to-day support now is really fantastic.”

In addition to providing IT support, MFC has gradually modernised the aging IT equipment at Indoor Garden Design, at a pace that was affordable for the business. It has, for example, upgraded the company’s laptops, WIFI and back-up systems. “MFC has brought our IT into the right century,” Craig says. “I trust MFC’s advice about which products to buy, as I know that MFC is recommending products that are right for our business and that offer good value for the long term.”

MFC was instrumental in helping Indoor Garden Design migrate to Microsoft 365, improving access to business applications for 80% of staff who need to be able to work flexibly from multiple locations. “MFC managed our entire migration to Microsoft 365, making it completely stress-free,” Craig recalls. “MFC moved our emails from our old email service to the cloud and set up the new system over a weekend to ensure the least possible disruption to the business.”

Through its work with Indoor Garden Design, MFC identified that the company could save money by switching from a traditional telephone system to a voice-over-IP (VoIP) telephony system. MFC then handled the entire migration project, including liaising with the incumbent telephony provider to cancel the existing contract. “Our new VoIP telephone system saves us £3,000 every year,” Craig says.

MFC proactively monitors the company’s storage capacity and alerts Craig when the amount of data stored reaches a pre-set cap. Indoor Garden Design can then review stored data internally and delete what is not needed. This pre-emptive approach means that Indoor Garden Design will not run out of storage space unexpectedly and doesn’t pay for additional storage capacity that isn’t needed.

When the contract with MFC was due for renewal recently, Indoor Garden Design carried out a benchmarking exercise. It found that MFC offered a more comprehensive range of services than its competitors and did so at an affordable price. “MFC is very competitive in the IT support market and provides good value for money,” says Craig.

Above everything else, Edser most values MFC’s personal approach. “The whole team at MFC are friendly, personable people, who don’t use unnecessary IT jargon,” he says. “They have earned the confidence of everyone in the business.”
